Bilingual Evening Office Assistant

 

Position: Evening Office Assistant
Hours: Non-Exempt Part-Time
Supervisor: Director of Advocacy and Education
Program: Non-Residential Outreach Office

 

Position Purpose:

The purpose of this position is to create and maintain a welcoming environment for GWSS clients, staff, and donors in the evenings. This position is responsible for providing evening reception services and oversight of administrative and office functions.

 

Responsibilities:

  • Create a pleasant and welcoming environment
  • Responsible to close the office daily, ensuring it is client-, staff-, meeting-, etc. ready
  • Maintain general appearance of common areas
  • Answer multi-line phones, direct calls to appropriate staff and provide crisis intervention along with information and referrals as needed
  • Receive clients and notify client service staff of their arrival
  • Support Outreach Office Manager in daily operations of Non-Residential office
  • Oversee maintenance of office equipment and coordinate service as needed
  • Prepare office spaces for board meetings, lunch and learns, and various other internal and community meetings

 

Qualifications:

  • Ability to operate with empathy and compassion for the clients served
  • Understanding of dynamics of family violence preferred
  • Ability to maintain confidentiality regarding client/agency information
  • Ability to work independently and be a self-starter
  • Ability to communicate effectively, both orally and written
  • Have proficient computer skills
  • Must pass a background check
  • Experience with working on multi-line phone system is preferred
  • Must have excellent phone voice and demeanor that is pleasant
  • Ability to effectively handle escalations and time critical issues
  • Acceptance of agency philosophies regarding domestic violence, internal conflict resolutions, and how decisions are made
  • Demonstrates experience with and sensitivity to varying cultural, ethnic, and social backgrounds, values, and attitudes
  • Able to develop and maintain positive working relationships with clients, staff and community contacts and able to effectively address and resolve conflict as needed.
  • Current CPR/First Aid training required within first 30 days of hire
  • Bilingual (Spanish) required
